Billing Terms

These Billing Terms govern all payment and subscription services for SnapGenius operated by FIRAT (Foresight Institute of Research and Translation). By subscribing or making a purchase, you agree to these terms.

1. Payment Methods

1.1 Accepted Payment Methods

We accept the following payment methods:

  • Credit cards (Visa, MasterCard, American Express, Discover)
  • Debit cards with credit card processing capability
  • Polar.sh payment processing
  • Other payment methods as made available on our checkout page

1.2 Payment Processing

  • Payments are processed by third-party payment processors
  • We do not store your full credit card information
  • All payment data is encrypted and transmitted securely
  • Payment processor fees are included in displayed prices
  • You authorize us to charge the payment method provided for all fees

1.3 Payment Currency

  • All prices are displayed in United States Dollars (USD)
  • Your bank may apply currency conversion fees
  • International transaction fees may apply based on your payment method
  • We are not responsible for any additional fees charged by your bank or card issuer

2. Subscription Plans

2.1 Available Plans

  • Free Plan: Basic features with limitations
  • Premium Monthly: Billed monthly with full access to premium features
  • Premium Annual: Billed annually at discounted rate with full access
  • Enterprise Plans: Custom pricing with dedicated support (contact sales)

2.2 Plan Changes

  • Upgrades: Take effect immediately; you'll be charged the pro-rated difference
  • Downgrades: Take effect at the end of current billing period; no partial refunds
  • Switching frequency: Monthly to annual or vice versa allowed once per billing cycle
  • Changes can be made from your account dashboard

3. Billing Cycles and Renewals

3.1 Billing Frequency

  • Monthly subscriptions: Billed on the same calendar day each month
  • Annual subscriptions: Billed on the same date each year
  • If subscription date is the 29th, 30th, or 31st, billing may occur on the last day of months with fewer days
  • You'll receive a receipt via email after each successful charge

3.2 Automatic Renewal

Important: Your subscription automatically renews at the end of each billing period unless cancelled.

  • Renewal charge is processed 1-2 days before the renewal date
  • Renewal occurs at the then-current subscription rate (see Section 5)
  • No additional authorization is required for renewal charges
  • Email reminder sent 7 days before renewal date
  • You may disable auto-renewal anytime before the next billing date

3.3 Billing Date Changes

  • Your billing date may change if you upgrade/downgrade plans
  • Pro-rated charges apply when billing dates are adjusted
  • You'll be notified of any billing date changes via email

4. Failed Payments and Account Suspension

4.1 Payment Failure Process

If your payment fails, we will:

  1. Day 1: Notify you via email and attempt to retry payment immediately
  2. Day 3: Second retry attempt; account moved to grace period (limited access)
  3. Day 7: Final retry attempt; account access restricted
  4. Day 10: Account suspended; all forms made inaccessible
  5. Day 30: Account data eligible for deletion (see data retention policy)

4.2 Updating Payment Information

  • Update payment methods at any time in your account dashboard
  • Update before renewal date to avoid service disruption
  • You're responsible for maintaining valid payment information
  • Email notifications sent to primary account email when payment methods expire

4.3 Account Reactivation

  • Pay any outstanding balance plus current period subscription
  • No reactivation fees for accounts suspended less than 30 days
  • Accounts suspended over 30 days may require manual review
  • Data recovery not guaranteed after 60 days of suspension

5. Price Changes

  • We reserve the right to change subscription prices at any time
  • Price changes for existing subscribers require 30 days advance notice
  • Notice will be sent via email to primary account address
  • Price changes take effect at your next renewal date
  • You may cancel before renewal to avoid price increase
  • Continuing subscription after notice period constitutes acceptance of new prices
  • Promotional pricing may change without notice
  • Grandfathered pricing (if applicable) subject to terms of the original promotion

6. Cancellation Policy

6.1 How to Cancel

  • Cancel anytime from your account dashboard under "Subscription Settings"
  • Alternatively, email support@snapgenius.tech with "Cancellation Request"
  • Cancellation is effective at the end of the current billing period
  • You maintain full access until the end of your paid period
  • No partial refunds for unused time (see Refund Policy for exceptions)

6.2 Cancellation Timing

  • Cancel at least 24 hours before renewal to avoid being charged
  • Cancellations made after renewal charging has begun do not qualify for refunds
  • You'll receive email confirmation upon successful cancellation
  • Cancelled accounts retain data for 90 days (subject to data retention policy)

6.3 Resubscription

  • Resubscribe anytime by selecting a plan in your account dashboard
  • Previous pricing may not be available upon resubscription
  • Data available for 90 days after cancellation
  • After 90 days, account may be permanently deleted

7. Code Redemption and Credits

7.1 Premium Access Codes

  • Codes grant specified period of premium access
  • Redeem codes from account dashboard or during signup
  • Codes are single-use and cannot be transferred
  • Code expiration dates are final and cannot be extended
  • Once redeemed, codes cannot be reversed or refunded
  • Codes have no cash value and cannot be exchanged

7.2 Account Credits

  • Credits may be issued for service outages, refunds, or promotions
  • Credits automatically apply to next billing cycle
  • Credits cannot be transferred between accounts
  • Credits have no cash value
  • Unused credits expire 12 months after issuance
  • Credits do not extend beyond account lifetime

7.3 Promotional Offers

  • Promotional codes and discounts subject to specific terms
  • Promotions cannot be combined unless explicitly stated
  • One promotional code per account per promotion period
  • We reserve the right to cancel fraudulent or abusive promotional redemptions
  • Promotional pricing reverts to standard pricing upon renewal unless stated otherwise

8. Taxes and Fees

  • Prices shown may not include applicable taxes
  • You are responsible for all sales, use, and other taxes
  • Tax amounts will be calculated and displayed at checkout
  • Tax rates based on billing address provided
  • VAT/GST charges may apply based on your location
  • Provide accurate tax information; you're responsible for errors
  • Tax exempt organizations must provide valid documentation

9. Billing Disputes

9.1 Dispute Process

If you believe you've been incorrectly charged:

  1. Contact support@snapgenius.tech within 60 days of the charge
  2. Include invoice number, date, amount, and reason for dispute
  3. We will investigate within 5-7 business days
  4. You'll receive written response with our determination
  5. If error confirmed, we'll issue credit or refund within 10 business days

9.2 Chargebacks

Important: Contact us before initiating a chargeback with your bank.

  • Chargebacks trigger immediate account suspension
  • Fraudulent chargebacks may result in permanent account termination
  • Chargeback fees (typically $15-$25) may be billed to your account
  • We will contest invalid chargebacks with supporting documentation
  • Legal action may be pursued for fraudulent chargebacks
  • Most disputes are resolved faster through direct communication

10. Enterprise and Custom Billing

  • Enterprise customers may have custom billing arrangements
  • Invoice billing available for qualified enterprise accounts
  • Net-30 or Net-60 terms subject to credit approval
  • Purchase orders accepted for enterprise accounts
  • Contact partnerships@firat.rw for enterprise inquiries
  • Minimum contract values may apply for custom billing terms
